VENDOR TERMS AND GUIDELINES

We invite you to submit a Vendor Application for our Harvest Life Family Fest! The event is being held on Saturday, October 7, 2023 at the Harvest Life Church in Woodbridge, Virginia. Vendors will have access to market their products and services to hundreds of men and women of all ages!

To get started, simply:

  • Remit payment upon notification of approval

HARVEST LIFE FAMILY FEST VENDOR INFORMATION

Rental Space Details

  • Cost:
    $50.00 
  • Each Vendor Registration Includes:
    One (1) Admission to the Family Fest
    One (1) 6-foot skirted table
    Two (2) chairs
    One (1) parking pass
    One (1) Meal Deal; additional meals or food items may be purchased a la carte.

General Vendor Information:

  • Vendor Attire: Business casual
  • Vendor Load-In and Set-Up: Saturday, October 7th | 7:00 am – 9:00 am
  • Event Date / Time: Saturday, October 7th | 10:00 am – 2:00 pm
  • Vendor Breakdown: Saturday, October 7th | 2:00 pm – 3:00 pm

Application Details:

Applicants will be notified within 3 calendar days after receipt of the vendor application. The $50 rental fee is due immediately upon your vendor acceptance notification and spaces are issued on a first-come, first-served basis. Failure to remit payment will result in the forfeiture of your vendor acceptance.

Vendor / Exhibitor Guidelines:

LOCATION OF VENDORS – When you arrive to set up your area, look for the sign with your company name on it.

PROFESSIONAL CONDUCT – Vendors shall conduct themselves in a professional and courteous manner at all times during the conference. Profanity, smoking, drinking alcoholic beverages or other behavior deemed unacceptable are not permitted on the premises. Any actions deemed inappropriate by the Committee are grounds for immediate dismissal without financial recompense.

NOISE – Public address, sound producing, or amplifying devices that project sound beyond the vendors booth, or excessive operating noise that distracts neighboring vendors, are expressly prohibited. The Committee reserves the right to restrict vendors which, because of noise or for any other reason, become objectionable or which may detract from the general character of the event.

LIABILITY AND INSURANCE – Neither the Committee nor the owners, management company, employees or representatives of Harvest Life Church will be responsible for any injury, loss or damage that may occur to the vendor or to the vendor’s employees or property, prior, during or subsequent to the period covered by the exhibit. The vendor expressly releases the foregoing persons and entities from, and agrees to indemnify the same against any and all claims for such loss, damage or injury arising from the negligent or willful acts or omission of the vendor and its employees, agents, contractors, and invitees.

PROTECTION OF BUILDING / PROPERTY – Nothing should be posted on, tacked, nailed, screwed, or otherwise attached to columns, walls, floor or other parts of the building or furniture. Whatever is necessary to protect the building, equipment, or furniture properly will be at the expense of the vendors. Vendors are liable for the costs of repairing any damage they cause to the venue property, and any consequential damage arising from such damage.

SAFETY GUARDS AND PROTECTION – Guests must be properly protected from injury. Any piece of machinery on display that has movable parts must have adequate safeguards to protect the public from injury throughout the event.

SPACE RESTRICTIONS – Exhibits must be confined to the exact space allocated. Circulars, publications, advertising matter and all promotional giveaways may be distributed within space only.

PRODUCTS/SERVICES – All Products/Services will be reviewed and approved by the Committee before the vendor application is approved – and only approved items listed on the application may be sold. All items must be of good quality, and in line with Christian values. The Committee reserves the right to require any vendor to remove products/services if they are misleading or deceptive, in poor taste, unsuitable to or not in keeping with the character and objectives of the event. This is in the sole judgment of the Committee.

AMENDMENT TO RULES – Any and all matters or questions not specifically covered by the preceding Rules and Regulations shall be subject to the decision of the Committee. The Committee may amend these Rules and Regulations without prior notice at any time. All amendments so made shall be binding on the vendors equally with the foregoing Rules and Regulations.

FAILURE TO HOLD EXPOSITION – Should any contingency prevent holding of the event, the vendor waives all claims for damage or recovery of expenses other than the return of the rental fee paid for the exhibit space.

CANCELLATIONS OR TRANSFERS – Vendors may cancel booth rental in writing on company letterhead with the signature of the original registrant. Please note that refunds will not be granted for any reason due to vendor cancellation. Vendor space agreements are not transferable to other vendors.

The application process is not complete until you receive confirmation of approval and remit payment for the vendor space.
